Introduction to the Credits Interface

Credits Main Window

The Credits main window can be divided into two sections – Top Section and Details Section.  


Top Section

Features
Functionality
Retrieve Invoice Textbox
Enter the invoice number that you wish to lookup into the textbox.
Find Invoice/Credit Button
Press the button to open the Find Invoice/Credit window for finding a specific invoice or credit.
Retrieve Button
Press the button to open the invoice number inputted in the Retrieve Invoice textbox.
New Credit Button
Press the button to generate a credit number for the retrieved invoice. New credits will be saved in the process.
Reset All Button
Press the button to clear all the items’ refund details in the Invoice items grid.
Toggle All Button
Press the button to change all the items’ refund details in the invoice items grid to either refunded or not refunded. A not refunded item will be changed refunded and vice versa. (The selected reason for refund from the dropdown will be applied)
Toggle Selected Button
Press the button to change the selected items’ refund details in the invoice items grid to either refunded or not refunded. A not refunded item will be refunded and vice versa. (The selected reason for refund from the dropdown will be applied)
Select All Button
Press the button to select all the items in the invoice items grid.
Change All Button
Press the button to change all the items’ reason for refund in the invoice items grid. (The selected reason for refund from the dropdown will be applied)
Change Selected Button
Press the button to change the selected items’ reason for refund in the invoice items grid. (The selected reason for refund from the dropdown will be applied)
Reason for Refund Dropdown
Lists all the available reasons for refund that can you can use.
Reason for Refund Browse Button
Opens the Adjust Credit Return Reasons window where you can add new reasons for refund.


Details Section

The Details Section can be further detailed into sections – credit details tab section, notes, attachments and production tab section and command buttons section. 


Credit Details Tab

Features
Functionality
Credits against this Invoice Dropdown
Lists all the credits belonging to the selected invoice.
Back Charge Amount Textbox
Enabled when creating a back charge. Enter the back-charge amount to be refunded.
Restock Fee Textbox
Enabled when creating a credit. Enter the fee for restocking the items to be refunded.
Restock Fee: Automatic Checkbox
Tick this checkbox to have the restock fee set to 10% of the credit’s refund value.
Created Checkbox
This checkbox will always be disabled. The purpose is to show who created the selected credit and when.
ACM Approved Checkbox
Tick this checkbox to mark the selected credit as approved by account manager. This checkbox is only enabled to the selected credit’s account manager.
Mark Credit Approved Checkbox
Tick this checkbox to give a final approval to the selected credit after it has been approved by the account manager. This checkbox is enabled for everyone who has credit approving authorities. (including the credit’s account manager if they have the authority)
Declined Checkbox
Tick this checkbox if you wish to decline the selected credit. This checkbox is enabled for everyone. Credits may be declined at any stages after creation.
To be followed up by Dropdown
Select a user you wish to have the credit actioned by.
Raise NCR Checkbox
Tick this checkbox if you wish to create a Non-Conformance Report for the retrieved invoice.
Customer credit notes Textbox
Enter the customer’s reasons for requesting a refund.
Customer Name Textbox
Displays the customer name that the invoice belongs to.
Pick up Checkbox
Tick this checkbox if you wish to pick up the goods from the initial delivery address.
Not Supplied Checkbox
Tick this checkbox if you wish to flag the goods in the credit as not supplied.
Return to original site Checkbox/Dropdown
Tick this checkbox if the items to be returned are to be returned to the site where the items were scheduled. Or select from the dropdown the site where the items need to return to.
Picked Up/In Quarantine Checkbox
Tick this checkbox if you have picked up the goods from the initial delivery address. This checkbox is only enabled once the ‘Pick up goods’ checkbox has been ticked.
Pick up Address Textbox
Displays the initial delivery address where the items need to be picked up from. The address may be changed if required.
Lookup Button
Press the button to open the Find Street Address window to find the street name that you wish to use.
Display Address Button
Press the button to open Google Maps in a new browser to show the address being displayed in the ‘Pick up Address’ textbox.


Notes Tab

Tab Features
Functionality
User Notes Grid
Enter any notes regarding the credit to be seen by other users. It is only visible internally.



Attachments Tab

Tab Features
Functionality
Attachments Grid
Lists all the attachments added for the selected credit. (The tab can only be accessed when a credit has been generated or when an existing credit is opened)
The delivery photos will automatically attach if the delivery is completed through the ReoSend App



Command Buttons Section

Save Button
Press the button to save all changes made to the selected credit.
Print NCR Button
Press the button to print a non-conformance report. This button is only enabled when the Raise NCR checkbox in the Credit Details tab is ticked.
Print Goods Pickup/NS Button
Press the button to print a goods pickup or not supplied form. This button is only enabled when the ‘Pick up goods’ or ‘Not Supplied’ checkbox in the Credit Details tab is ticked.
Print Credit Note Button
Press the button to print a credit confirmation document.
Close Button
Press the button to close Credits.
